To schedule reports, you need to have report scheduler access rights configured in the site’s security realm.

Exago Report Scheduler

The Scheduler can schedule or re-schedule existing reports.

The Scheduler Admin can see and schedule the reports with the Schedule Admin tool1

Scheduling Reports

To schedule a

report, select appropriate

report

from the list, click on the three lines icon and choose Schedule Report from the dropdown.Image Removed

There are four steps (displayed as tabs) to be completed:

  1. Recurrence

  2. Filters

  3. Batch

  4. Recipients

Recurrence:

Schedule Name: Enter the name

Export Type: Select from the dropdown (Excel, PDF, RTF or CSV)

Password & Confirm Password: Password

to

access the exported file is required. Password must contain at least 3 characters.

Check the box Execute immediately if you want to export the report right now.

Define the parameters in the Schedule Time section.

Define the recurrence of the export in the Recurrence Pattern section.

Define the range of exports in the Range of Recurrence section.

Filters:

Info

Filters are optional. Leave empty if no filters must be applied. Define the filter if you want to run a filter automatically otherwise.

Choose the filter from the list on the left side for the selected report.

Customize filter parameters, using the two dropdowns and command line, or write the formula directly in the SUMMARY field.

For advanced filters, use +Add and +Formula buttons.

Batch:

You can send a set of reports to recipients.

Select reports and configure parameters:

Check the Run as Batch Report box.

Batch Summary Email section: Choose recipients for the email describing the results of the completed batch operation.

Batch Email Field: Choose the field that contains the email addresses to use when sending out completed reports. (Only fields that relate to the scheduled report are shown.)

Recipients:

Check Email Results box to create emails with attachment(s) of the report(s).

Fill out the email header fields (To, Cc, Bcc, REply To, and Subject).

Enter a description about the report(s).

Note: Click Test Email button to verify the addresses. (Optional)

Click Finish when all sections are completed.

Confirmation message will be displayed if schedule is completed correctly.

Recipient receives the email with attachment(s) of the report(s).

Enter the password to open the report(s).

Administering Reports

Click Manage Scheduled Reports to administer the schedules.

List of existing schedules shows the:

  • Schedule name

  • Schedule type

  • Report name

  • Last execute date

  • Next execute date

  • Status (e.g., Ready - Job is ready for execution; Completed - Job is successfully finished; Abandoned - Job was abandoned on last execution and will not execute again)

  • Run count (how many times report had run)

To edit existing schedule, click the pencil icon on the selected schedule. Make the necessary changes.

To delete existing schedule, click the x icon.

Tip: In order to have a default e-mail for scheduled reports, make sure to have a valid e-mail address specified in your report user preferences.

To access reports, navigate

to Administration

to Administration > Reports.

The system displays a list of report groups and their descriptions. To access specific reports, click on the group name.

The list of reports in the group appears. To open a report, click on the respective link.

Note: If a report requires search parameters, the corresponding search page opens. Some reports are run directly without additional parameters, in such case the resulting report is shown.

Run the report once. Then scroll to the bottom of the screen and click one of the Schedule Report links or the Schedule button.

Schedule Options are opened. You may choose:

  • Description - a name by witch to recognize your scheduled report

  • Schedule Type - how often to run the report automatically

  • Start Date - when to start running automatic reports

  • Start Time - at what time the report will be run and sent out

  • Export Type - the format of the file, that will be exported

  • Delivery Method - e-mail or Save to a file that can be accessed later

  • Recipients - your e-mail address and any additional addresses, that should receive the report

Click Submit, when all options are filled out.

The options are saved and a list of all scheduled reports appears. To change selected options for an export, click the Update link at the end of the row.

You can also access this list at any time, by clicking Scheduled Reports in the top toolbar.
