Manually Adding Documents to a Shredding Batch

To place a document in a Shredding Batch, perform the following actionsOnce you have created a batch automatically or manually, you can place additional documents into the batch to be shredded. You can only add documents to batches with the New status.

To add documents to a Shredding Batch:

To launch the Shredding Batches (ID 262) domain by the domain name (1) or domain ID (2).

Click New Shredding Batches to create a new shredding batch.

Note: You can search for the existing shredding batches in the Shredding Batches domain. If you click 'Submit' (fromCore) or Search (Connect) to load results, all existing shredding batches will be returned. Creating new shredding batchesImage Removed

  1. In Details, provide the following information for a new shredding batch:
    a. Description. Enter a name of the shredding batch you are creating.
    b. Notes. Enter notes that pertain to the shredding batch.
    c. Editable. Set the value to Yes to add new document records to the batch. When set to No, the content of the batch cannot be altered.
    d. Approved for Shredding. Set the value to Yes to shred the batch.
    e. User. Enter a user name for a new shredding batch.

  2. Click Save in the upper-right corner to save changes.

Preview the document for a shredding batch and then click Save and Close in the upper-right corner.

Tip

Tip: A new shredding batch appears in the list of batches in the Shredding Batches domain.

Open the Client Documents (1) tab. To locate specific documents for shredding, enter filter criteria (2) and click Search (3). Then click Add to Shredding Batch (4).

Note

Important! All documents that match the search criteria will be added to a shredding batch. To add a single document to the batch, search by its Document ID.

Tip

Tip: To find the most likely shredding candidates filter by the following criteria:

  • Shredding Batch - select is empty from the dropdown

  • Modified - select the dates when the documents were last modified according to your retention procedures

  • Creation Date - select the dates when the documents were created in the system according to your retention procedures

Select a Shredding Batch (1) and click Add to Batch (2).

Tip

Tip: Only batches with the status New are available in the list.

Click Close when the progress bar shows that all the documents have been added.

Proceed to review the documents in the batch before shredding.
