Introduction
Docupace provides you with the option of either wet-signing or e-signing documents. This guide explains the process of how to finalize documents for wet-signing.
Best Practice Tip
Though you can fill out details using ink and paper, the best practice is to fill out electronically for accuracy and verification purposes.
To prepare the documents, perform the following steps:
1 | Open your work item and under the Client Documents section, check whether all the required documents are present. To add optional forms to this list, go to the Optional Forms section and click Add.
2 | Select the checkboxes next to the documents you want printed out, and click Print. TipAlternatively, you can also select Combine & Print under the Actions button. This prepares all the forms under Client Documents section for printing.
3 | From the pop-up window that appears, select the Generate Coversheets checkbox. This generates a barcode on the coversheet that Docupace uses to recognize the documents. Scanned documents with barcoded coversheets will route them back to the appropriate workflow stage. NoteAs shown in the image, you have the options of printing double-sided and without the client SSN on the documents. These checkboxes are enabled after selecting the Generate Coversheets checkbox. NoteThe system allows you to print out documents without selecting the Generate Coversheets option. These documents do not have barcodes on them and are, hence, “unindexed”. Upon scanning back into the system, they are routed to the Mailroom and wait for user intervention to be sent to the appropriate workflow stage.
4 | After you click Print, you can view the document package prepared by Docupace. If you opted to generate a coversheet, then each form will start with a corresponding coversheet with a barcode on it. AttentionWhen you scan the signed documents into the system, ensure that each barcode coversheet is on top of the correct form. |
