This article shares the new features, updates, and fixes that are part of the 2019 Winter release.

Key Innovations to the Docupace System

This section tells about major improvements to the Docupace System.


New Features


New Account Wizard for Fidelity

Change: A new comprehensive Docupace Start wizard for creating New Accounts for Fidelity.

Benefit: User-friendly and comprehensive interface for opening new accounts.

Description: The new account opening wizard is built with the Docupace Start configuration tool on top of the powerful Docupace platform engine. Numerous bulky PDF forms will be automatically filled out with the data entered into this wizard.

Docupace Identity Provider Solution

Change: Docupace authentication as a service.

Benefit: No need for a 3rd-party identity authentication service.

Description: Docupace creates an IdP authentication service that supports our integration with OS33's Workplace Frontline cybersecurity product.




Annuitynet Administrative Access

Change: Access to all the administrative functions in Annuitynet. Product activation and restrictions, custom carrier question management, operational reports can now be customized.

Benefit: Putting the power of the Docupace-Annuitynet integration in your hands.

Description: Administration toolset now has the ability to create an ebix transaction.
A new field in the Application Preferences domain (242) ebix.annuityNet.su.access.enabled provides the ability to Enable (Yes) or Disable (No) this administrative access.

Auto-Site Creation

Change: Site creation and deployment is now systematically managed with fully automated services.

Benefit: Your new site is ready as soon as you are.

Description: Fast, efficient, error-free spin-up of new sites and a major milestone in our efforts to support one-click: client-managed site configuration management and migration.


User Experience

This section shares information about changes that have been made in this release that improve overall user experience.


Improved Features


Improved  'All by Name' Filter


Change: Improved Global Search. For easier viewing, the 'All by Name' filter now displays new headers for each domain search result.

Benefit: A more unambiguous user interface.

Description: As the user searches for an item in the site search bar, the search results are grouped and respectively labeled:

  • Client Folder

  • Client Subfolder

  • Client Work Items

Improved File Uploader


Change: Uploader doesn't allow to upload files larger than the defined limit (e.g. 100Mb).

Benefit: Improvement to data load times.

Description: If an uploaded file size exceeds the accepted limit, an error message appears and the Start Upload button is disabled.

Changes to the Work Item Notes Widget


Change: New column in the "WI Notes" (Work Item Notes) Widget.

Benefit: Specific information, where it is useful to the user.

Description: A Creator column added to the details screen within the "WI Notes" Widget. This column displays the user ID that created the corresponding note in the respective row.

Fixes


Improved Global Search


Change: Global Search now returns a user friendly error message, when special characters are used. 

Benefit: More precise search results.

Description: Resolved issue, where special characters (for example, Â!$&*()-=;,?{}[]|~) would not allow to search.

Adjusted Date/Time Column Labels


Change: Removed 'PT' (Pacific Time) from all date/time label references.

Benefit: A more unambiguous user interface.

Description: As Connect interface adjusts time stamps, the date/time labels will always be displayed in the user's time zone.

Docupace Administration

This section shares information about changes to features used by Docupace administrators, such as domains, configuration settings, or improvements to core functionality.


New Features


Customizable Header in the Work Item Task Summary Screen

Change: Added support for embedding buttons, widgets and dynamic data into the Task Summary screen.

Benefit: A more flexible way to configure the system.

Description: Added a customizable Section Header at the top of the Work Item Task screen. This Header may contain: 

  • Data from domains (e.g. display Client Name)

  • Customizable action buttons (based on request type and node)

  • Transition Action buttons

  • Embedded widgets

The Header remains visible when the Document Viewer is expanded in Full screen mode.

Note: Additional configuration required. Costs apply if configured by Docupace.

New Variables for e-Mail Templates


Change: E-mail templates for the base review process now support additional variables - Recipient's Last Name and Middle Name, Advisor Name, Advisor Phone Number, Advisor e-mail, Work Item Error Description.

Benefit: A more flexible way to communicate to the end-clients.

Description: Generated e-mails can now be customized using the full name of the recipient (First Name, Middle Name and Last Name).

Also Advisor's Signature can be included (Advisor First Name and Last Name, Advisor phone number, Advisor email) with the ${ADVISOR_SIGNATURE} variable. If Rep Code is linked to multiple advisors, then they all are listed in the signature.

You can also list each advisor separately by using variables:

${REP_NAME}, ${REP_NAME_ADVISOR2}, ${REP_NAME_ADVISOR3}

A new variable ${WI_ERROR_MESSAGE} , will send the description of the problem with the client's Work Item number. 

Note: Additional configuration required. Costs apply if configured by Docupace.

Using variables in e-mail templates


Change: New application preferences for hiding Contact and Privacy links in the User Settings toolbar.

Benefit: A more flexible way to configure the system UI.

Description: New fields in the Application Preferences domain (242), web.links.help.showContact and web.links.help.showPrivacyLinks that provide the ability to Enable (Yes) or Disable (No) these links.

New Option to Hide the Printer Icon


Change: New application preference for hiding the Printer icon within the Image viewer.

Benefit: A security improvement.

Description: New field in the Application Preferences domain (242), sp.print-icon.show provides the ability to Enable (Yes) or Disable (No) the Printer icon in the Image viewer.

Improved Features


Annuitynet Transaction Detail Report Visibility Changed


Change: Annuitynet Transaction Detail Report has been removed from the work item and is now stored in the client subfolder.

Benefit: A security improvement.

Description: The report is only visible to the back office users. New field in the Application Preferences domain (242),  integration.ebix.attachNonTxDocs.enabled that provides the ability to Enable (Yes) or Disable (No) the downloading of the report.

New Settings in the User Access Domain


Change: New settings in the User Access domain that show data role, status, and creation date. 

Benefit: Quicker support response time.

Description: New read-only fields added to the User Access domain (300) that show:

  • User Group - user's site role

  • Disabled - active or inactive status of the user

  • Last login - date/time of last user login

  • User Creation Date - when the user's account was created
