Overview

This document describes how to use the Docupace-Envestnet integration.

There are three possible scenarios for client information.

  • We have a client in Docupace and the same client in Envestnet.

  • We have a client

    Initial Configuration Steps

    Prior to using the Envestnet integration, your company Systems Administrator must configure your IDP (Identity Provider) settings and the Docupace system settings. This will allow for a smooth single sign-on (SSO) between the two systems.

    To log in to the IDP (Identity Provider):

    1. Enter your username (or email).

    2. Enter your password.

    3. Click SIGN IN.

    This logs you into Docupace, and subsequently should have seamless SSO to Envestnet.

    Client Sync between Docupace and Envestnet

    You may need to synchronize client information between the two systems, because for existing clients there are three possible scenarios:

    1. The client has a Client Folder in Docupace, and the same client exists in Envestnet.

    2. The client has a Client Folder in Docupace, but not in Envestnet.

    Note: The only information from the Client Folder that is shared and synchronized between the two systems is Client’s full name. Other client-specific data, such as TIN/SSN, Address, e-mail, Phone Numbers etc. are kept separately in each system.

    Envestnet Proposal Tasks

    Using the Envestnet integration, a Financial Professional can perform a number of tasks:

    • View client's existing information and current proposals in Envestnet

    • Create a new Envestnet proposal for one owner

    • Create a new Envestnet proposal for several owners

    • Create a new Envestnet proposal that includes several investments (for one or several owners)

    • Process each investment as a Docupace Work Item, including a combined eSign procedure for multiple Work Items

    • Open account for each investment and synchronize the new account numbers to Envestnet

    Opening Envestnet Information for an Existing Docupace Client

    If there is a Client already created in Docupace, you can check their existing Envestnet proposals as follows:

    Search for the client and click on the client entry.

    If the Client is found, the System opens the Envestnet Client screen for the Household.

    Conditional: If you have access to more than one Envestnet Advisor, then the system will display the Select Advisor screen. Select the Advisor from the list.

    Tip: The system skips this screen, if you only have access to one advisor.

    Creating a New Proposal

    The system opens the Initiate a New Envestnet Proposal screen. Enter the Proposal Title and Amount. Then click

    Note: The fields displayed on each screen can vary by organization, so your view may differ from the images in this guide.

    You can add multiple investments when creating a proposal. To add investment, click Add Investment and select Add Proposed Investment.

    Fill out the forms as you are taken step by step through these screens: Risk & Objective, Account Strategy, Preview (optional), Account Setup (optional), Fees.Select “I agree to the fee schedules shown above.” option and click Continue in the Feesscreen.

    On the

    Summary screen click Generate to create the documentation.

    Select Send Proposal Info from the Actions menu

    Under NEXT STEPS click Send to send this proposal to Docupace.

    As the proposal documents are sent to Docupace, you may be asked to match the proposal owner from Envestnet to a corresponding client in Docupace. Click Complete at the top of the table.

    Docupace creates the Work Item with proposal documents and the process continues as part of the standard

    Workflow

    workflow. Once your organization finishes creating the account, Docupace sends the

    signed documents

    Account Number and the signed Statement of Investment Selection (SIS) document back to Envestnet.

    Creating a Proposal for Several Owners

    When creating a proposal, you can create an additional owner.
