Mapping between Salesforce and Docupace Objects

Note

Warning: Only standard Account objects in Salesforce.com are supported “out-of-the box“. Integrating other custom or customized objects used by your Salesforce system is a service request to Docupace Engineering and respective costs will apply.

Creating a New Account in Salesforce

Note

Important!

If your company is using a standard Salesforce solution, Docupace considers both Accounts and Contacts as Client Folders.

The Financial Services Cloud solution has several record types for an Account object (Business, Household, Individual, and Institution) and additionally a PersonAccountobject. Docupace considers all of these as Client Folders. The Contactobject is no longer supported.

Create a new account in Salesforce. Click Accounts > New Account (A) in the top menu bar or click New (B) in the All Accounts view.

Select the type of account in the New Account dialog.

Fill out all the relevant fields. Fields will differ depending on the selected Account Type. Click Save.

Note: Only the Account Name is mandatory.

The new Account Object opens.

Synchronizing a New Salesforce Account with a Docupace Client Folder

When accessing a Docupace Client Folder from Salesforce for the first time, the Docupace system will create it. and you can add more details to the folder.

Open a new Account in Salesforce. Click Docupace Client Folder.

The Docupace site will open to the Client Folder Details screen. You can enter any additional information that is necessary. Click Save to create the Client Folder in Docupace.

Note: The following fields will be mapped and filled out from Salesforce values:

  • Rep = automatically will add the Rep Code(s) that are assigned to the Advisor performing this action

  • Client Type = Prospect (you must specify the SSN/TIN number before you can change the Client Type in Docupace)

  • Client Status = Active

  • Business Type = default value that is set up on your Docupace site in the Business Types (151) domain

  • Company Name = the value entered in Salesforce

  • or First Name, Middle Name, and Last Name = the values entered in Salesforce

  • Gender = the value entered in Salesforce

  • Legal Address = the value entered as Billing Address in Salesforce

  • Email, Phone numbers = the values entered in Salesforce

The new Client Folder is created in Docupace. This also adds a CRM ID to the Client Folder, which allows synchronizing Salesforce values to this Client Folder in the future.

Opening an Existing Docupace Client Folder

When accessing a Docupace Client Folder from Salesforce, the Docupace system will check if such a Client already exists and open it in Docupace.

Open any account in Salesforce. Click Docupace Client Folder.

The Docupace site will open to the corresponding Client Folder screen. Existing Client Subfolders are listed in a separate section.

To view the Client Folder Details, hover over the client name and click on the pencil icon in the pop-up menu.

The Client Folder Details screen will open. You can enter any additional information that is necessary. Click Save to update the Client Folder in Docupace.

Warning

Warnings:

  • Changes made to the Client Folder details in Docupace (such as changes to phone numbers, addresses, etc.) are never synchronized back to Salesforce.

  • Changes made to account and contact entries in Salesforce are not automatically synchronized to Docupace. A user must open the Docupace Client Folder from Salesforce to run this synchronization.
