Introduction: This guide provides Investment Advisors with instructions on how to extract and transfer files from a Remote Site (file backup) to save them into a Local Site using the FileZilla application for Windows

We recommend installing the FileZilla application as your transfer client to acquire Windows File Extract / Backup.

Tip

Tip: The File Transfer Protocol (FTP) clients can also use FileZilla Client.

To install FileZilla Client:

  • Go to FileZilla > Download the client installer > Launch the application.

Note: Please ensure that your hard drive has enough free space to store the data. The amount of the required space may vary due to the Client. Within Docupace, it is required to have a free space of 143 GB to store the data.

To set up Windows File Extract / Backup, in FileZilla Client, provide the following information to access the File Transfer Protocol SSL (FTPS) files.

Host. ftps.docupace.com:21

Username. DB2020_20 (may vary depending on the Customer)

Password. Follow the password in a separate email for security reasons

Port. 21

Important: If you set Host with the Port added to the end (ftps.docupace.com:21), then leave the Port field empty.

Once you have entered the login information, click Quickconnect.

There are two sections in FileZilla Client:

  1. Local Site stores your hard drive paths.

  2. Remote Site stores your data from Backup / Extract.

In Local Site (1), select a destination where you want to save the extracted information from Remote Site (2).

Note: The extracted files can take the predefined amount of your hard drive memory. The amount of needed memory may vary depending on the Customer. In case of Docupace, you need 143 GB of free space to store the data.

To begin process of downloading files from Remote Site to your Local Site:

  1. From Remote Site, select the preferred Data folder (e.g., DEV, PREPROD, PROD, or other).

  2. Drag and drop the Data folder to the preferred destination in Local Site.

Note

Warning: The download process starts right after you drag and drop the Data folder from Remote Site to Local Site. Please note, once the download process starts, you cannot stop and/or pause it.

Note: Any files that fail during the transfer process, show up in Failed Transfers at the bottom of the FileZilla page.

In case one or more files fail during the process of transfer:

  1. Copy the log containing the list of failed files.

  2. Save the log as the “.txt” file.

  3. Send the file to Docupace Support.
    Once Docupace Support receives the file, we perform another data backup of these specific files for you.

Once the file download is complete, check the download process:

  1. Ensure that all files are downloaded and saved into your local computer/drive.

  2. Open the files to review/validate the downloaded files.

Note: Please note that the downloaded data remains on File Transfer Protocol SSL (FTPS) for 30 days. If you need more time for data to remain on FTPS, reach out to Docupace Support.
