With the integration enabled, you can perform the following actions directly in Salesforce:

Mapping between Salesforce and Docupace Objects

Note

Warning: Only standard Account objects in Salesforce.com are supported “out-of-the-box“. To integrate Integrating other custom or customized objects used by your Salesforce system will require initial analysis by the Docupace teamis a service request to Docupace Engineering and respective costs will apply.

Viewing a list of Docupace Documents for a Client

The Docupace Documents app synchronizes and displays the list of all documents stored in Docupace for a specified Client.

Open any Account in Salesforce. Click on the Related tab.

The Docupace Documents app shows the full count of Documents in parentheses and lists the first six items.

Tip

Troubleshooting: If the app does not display any documents, it may be that the account in Salesforce is not connected to the corresponding existing Client Folder in Docupace. Please click Docupace Client Folder to link the records in the two systems.

Click View All at the bottom of the app to open the full list in a new window. If more than four columns are configured for the app, additional columns will become visible in the new window.

Click the Docupace Id link in the first column, to open the actual document in Salesforce and see its Details.

Viewing a list of Docupace Documents for Each Work Item

You can also see a list of Documents stored within a single Work Item. Most of your work will be done in this view.

Open any Work Item in Salesforce. The Documents tab is the first to open.

It shows the full list of Documents in the left pane and the selected document in the right pane using the Docupace Document Viewer.

Click on any Document in the list to open it in the Docupace Document Viewer.

Tip

Tip: Drag the bar between the two panes to resize the space available to the Document Viewer.

Filling Out PDF Forms Using the Docupace Document Viewer

The Docupace Document Viewer shows images of Documents and also allows you to fill out PDF forms.

Open any Work Item in Salesforce. Click on any Document in the list, to open it in the Docupace Document Viewer.

Some fields will be automatically filled out with data that you entered in Starting Point while creating the Work Item and with Client data available in Docupace. The rest of the fields you can fill out now or later.

On the left side, the Viewer shows a list of missing information. The list shows red error messages for mandatory fields, yellow warning messages for optional fields and green messages for information.

Click on a message to go to that specific field.

Fill out missing information and click the Save icon in the Document Viewer top toolbar.

Note

Important! Some actions can only be performed when the Document is opened directly in Docupace, for example, using the Blue Arrows to retrieve data from other documents, or placing a signature on a field. Click Open in Docupace to proceed.

Uploading New Documents and Indexing Them

You can add new Documents to the Work Item and index their Client Document Type directly from Salesforce.

Open any Work Item in Salesforce. Click Upload File.

A dialog for uploading files appears. Drag-and-drop your files onto the dialog or use the Add file(s) button.

For each Document select a corresponding Client Document Type from the dropdown.

When all Documents are added and indexed, click Start upload.

Close the dialog when all Documents are uploaded (check marks appear next to each file in the Status column). You will see the new documents in the Work Item.

Replacing an Existing Document with a New Version

You can replace individual Documents in a Work Item with their updated version directly in Salesforce.

Open any Work Item in Salesforce. Click the replace button (Upload icon) next to the document.

A dialog for uploading files appears. Drag and drop your file onto the dialog or use the Add file button.

Note. You can only add one file in this case.

Click Start upload.

Close the dialog when the Document is uploaded (check marks appear next to the file in the Status column). You will see the updated documents in the Work Item.
