Important Terms

Workflow

The process documents follow from start to finish in Docupace. Workflows vary by category. Examples include ePACS (Client Activity), Ad Review, Advisor Onboarding, etc. The number of active workflows varies by firm, because they can be customized as needed.

Work Item (Request)

A folder that stores documents related to a particular transaction. Each folder is identifiable by a unique number. Work Items carry documents between the field and the back office and are set to follow a predefined workflow.

Request Type

Identifies the type of workflow request you want to send. Request types are typically assigned automatically when using Starting Point to create your request.

Queue/Task

A stopping point during a workflow that requires a user to take some kind of action to move the work item back into the workflow, such as fill out a form, eSign a document, or stamp it as approved.

Pool

When a work item stops at a queue, it enters a pool of other similar work items. Each pool is associated with specific roles in Docupace to prevent unauthorized users from disrupting the workflow. Work items are assigned to users from pools.

Transitions

Work item transitions are the actions a user takes to move a work item to the next queue in the workflow.

Cabinet

Virtual file cabinet that groups related records together. Examples include a client-dedicated cabinet or a cabinet that contains records related to licensing.
