This section shares information about key updates or new features available on the Docupace Platform.

New

Analytics

Reference #: KEY_01_R1_2023

Change: Integrated Google Analytics into the Docupace sites.

Benefit: The information we collect will allow us to improve Docupace site performance and system usability in the near future. We'll be able to make meaningful enhancements where it matters the most to our users.

Docupace will be tracking site usage information, such as the number of unique users per site, average session duration, statistics on user interactions with the system, and so on.

Important! Our implementation of Google Analytics does not collect any personal identifiable information (PII) or user-sensitive data.

Google Analytics can be disabled on a site-by-site basis through an application preference. Set application.googleAnalytics.common.enabled
to No. This feature is enabled by default.

Event-Based Retention

Reference #: KEY_02_R1_2023

Change: Compliance officers can configure an automatic digital shredding process for any documents stored in Docupace. They can review documents scheduled for deletion and approve their removal from the system.

Benefit: Allows to maintain a clean system and remain compliant with organizational and federal data retention requirements.

Event-Based Retention (EBR) allows you to configure rules based on system events. These rules determine how long specific documents must be retained before they can be digitally shredded.

Once shredded, all document images, links, and references to them from Work Items are deleted.

Centralized Mapping

Reference #: KEY_03_R1_2023

Change: Added a new CUSTODIAN-PERSHING namespace for the Pershing NAO integration. 

Benefit: With the addition of this namespace, centralized mapping becomes easier to configure. This will lead to more standardized future implementations and quicker rollout of mapping bug fixes on the current sites.

IDP Multifactor Authentication (MFA)

Reference #: KEY_04_R1_2023

Change: Docupace now supports Auth0 multifactor authentication (MFA).

Benefit: This type of authentication enables an additional layer of security by requiring users to provide multiple forms of identification, such as a password and a one-time verification code.

The standard setup uses Adaptive Multifactor Authentication via SMS Notification. This means that the system will send the user a code via text message. They must enter this code in order to complete the login process. Adaptive MFA only triggers MFA when high-risk events are present. For example, MFA will trigger when a user tries to sign in from:

  • a device that has not been used to access the site within the last 30 days.

  • a geolocation that indicates an impossible travel situation compared to the last login.

  • an IP address associated with suspicious behavior.

 

Note: Client's without their own IDP will be required to use the Docupace IDP (includes Adaptive Multifactor Authentication).

Improvements

Envestnet

Reference #: KEY_05_R1_2023

Change: Envestnet sends proposals as documents that are stored in the Client Subfolder.

Benefit: Now users can see proposals in Docupace.

This update adds new attributes to the Client Subfolder domain (115) to handle these documents.

They map to the BASE namespace as follows:

  • Registration Handle = ACCOUNT.ACCOUNT1.RegistrationHandle

  • Proposal Handle  = ClientProposal.ProposalHandle

  • Service Request Handle = ClientProposal.ServiceRequestHandle

All three attributes use STRING (0,100) as their format.

Salesforce

Reference #: KEY_06_R1_2023

Change: Our Salesforce integration now allows users to perform workflow actions without leaving Salesforce. These actions include:

  • Adding and replacing documents

  • Adding and reviewing Advisor Notes

  • Viewing the Event History

  • Transitioning work items within the workflow

Benefit: We have significantly improved the visibility and efficiency for users working with the work items and documents in Salesforce.

Improvements

Docupace Start

Reference #: APP_01_R1_2023

Change: Added support for meta field name patterns. Created a standard function that calculates meta field names by combining the page group name, field group name, and field name.

Benefit: Less hard-coding. Meta field names are generated dynamically, as the end-user enters more data sets into the app (e.g. additional beneficiaries, several addresses, etc.).

Reference #: APP_02_R1_2023

Change: Created a navigation framework for apps created with Docupace Start.  

Benefit: Adaptive navigation that makes apps more user-friendly.

Added a new second-level navigation element that lists pages in a page group. The system keeps track of the intended order of pages and group hierarchy. Navigational buttons - Previous and Next - work as expected, moving the user to adjacent pages in the pre-defined order. App developers can customize the style of the navigation.

 

Reference #: APP_03_R1_2023

Change: Apps created with Docupace Start can now use either the old QUIK! namespace or the new Docupace BASE names.

Benefit: This will lead to more standardized future implementations that are not affected by changes made by QUIK! to field names in their forms.

If the Application Using Docupace Names parameter is enabled, apps synchronize Starting Point data using Docupace names. By default apps work with the old names.

Docupace Start

Reference #: APP_04_R1_2023

Change: Fixed a bug in the Docupace Start app. When app developers were adding UI elements to a new page, the page appeared blank.

 

 

Docupace Administration

This section shares information about changes to features used by Docupace administrators, such as domains, configuration settings, changes to integrations with other systems, or improvements to core functionality.

New

Client Documents Domain

Reference #: ADMIN_01_R1_2023

Change: Added three new attributes to the Client Documents domain (111). These attributes are generic and may be relabeled as needed to serve your organization’s needs.

Benefit: Allows you to customize the information you capture about client documents without having to contact Engineering.

The new attributes are disabled in Security Manager by default. They currently use generic labels, but you can change the field name displayed to users.

Improvements

PreciseFP

Reference #: ADMIN_02_R1_2023

Change: Added a new attribute (External Doc ID) to the Client Documents domain (111) that is required for the document storage integration with PreciseFP.

Benefit: Enhances document storage between PreciseFP and Docupace which allows for storage of the external document ID reducing the potential for duplication.

The new attribute is called External Doc ID. When a client document relates to a record in PreciseFP, the system synchronizes the External Doc ID from the document storage integration.


Retrieve

Reference #: ADMIN_03_R1_2023

Change: Added a new application preference that turns off the Retrieve auto-search for specified domains.

Benefit: Prevents users from experiencing a timeout error when trying to search domains with thousands of records.

When you open a domain through Retrieve, the system automatically displays all records from that domain. Some domains have so many records that the search times out. The system then displays an error to the user.

Type domain IDs into the application.domain.disableAutoSearch Memo Value field separated by a comma. The system will disable auto-search for those domains.

An error has occurred and was logged with ID [number] Please contact your administrator.

Change: Fixed an issue where the clickable area of certain titles on the Administration screen were larger than expected.

 


List Domains

Change: Resolved an issue where searching for domains using the Contains filter returned no results.

 

Integrations

This section shares information about how the Docupace System integrates with outside systems.

New

API

Reference #: INT_01_R1_2023

Change: This enhancement supports opening multiple iframes from external systems through SSO (Single Sign-on) login.

Benefit: Allows Developers to embed Docupace content into other sites and CRM content into Docupace pages.

Any CRM integration that uses the OAuth protocol for its SSO may open multiple Docupace pages and dialogs at the same time. Developers can embed iframes into an external system that will show content from Docupace.

 

Improvements

Envestnet

Reference #: INT_02_R1_2023

Change: Created a new application preference (esign.transaction.combine.task.list) that allows site admins to control the Combine eSign logic.

Benefit: Work Items that relate to the same Envestnet proposal are sent as part of one eSign transaction.

Work Items get a Pending Combined Transaction status until the Advisor completes all relevant paperwork. Then the system sends all the documents in a single eSign envelope to each signer.

To enable this application preference, enter into the Memo Value field the names of queues that must combine multiple Work Items, e.g. Pending Advisor Review, Pending eSign.

Set the preference to null to send such Work Items as individual eSign transactions.

The names of the Pending Advisor Review queue and the Pending eSign queue may vary by site.

Change: Fixed an issue with the eSign Date not populating on AnnuityNet forms for Sammons Annuities.

 

User Experience

New

Email Notifications

Reference #: UE_01_R1_2023

Change: Added a new mechanism for configuring actions that automatically send emails to clients when a Work Item transitions between queues in the workflow. 

Benefit: The Advisors do not have to manually write emails notifying the clients when the account is opened, funded and trades completed.

After the email is sent, information is added to the Memo Notes History of the Work Item, showing the Docupace user who completed the workflow step and the email addresses where the notification was sent.

Advisor Office Workflow

Reference #: UE_02_R1_2023

Change: Fixed a bug where there was an extensive delay between clicking the Get from Pool button and the system assigning a Work Item to the user.

 


Starting Point

Reference #: UE_03_R1_2023

Change: Resolved an issue where Rep information was missing on the Summary page of a Work Item created from Starting Point for a new client.

 

 

Reference #: UE_04_R1_2023

Change: Resolved an issue where an underscore ( _ ) appeared on the Save/Save and Close toolbar when creating a new client in Starting Point.

 


Work Items

Reference #: UE_05_R1_2023

Change: Resolved an issue when after editing Work Item details (e.g. ADV Notes, NIGO Reason Code, or eSign info), clicking Save and Close took the user to the wrong screen.

 

Reference #: UE_06_R1_2023

Change: Resolved an issue that caused stamping a document to fail on the first attempt when stamping multiple documents.

 


User Settings

Change: Fixed a bug that caused a system error when opening the User Settings screen.
